Dear parents and guardians,

The protection of your personal data or the personal data of your child is important to us, which is why we would like to inform you here about the purpose for which the Equal Opportunities and Diversity Management Unit of Saarland University collects, processes and uses your data. The information also tells you what rights you have with regard to your personal data or the personal data of your child. The following sections contain:

 

  • Declaration of consent for the collection, processing and use of personal data for the purpose of pre-registration for a childcare place at the Unikate daycare centre for children of employees of Saarland University and the administration of child-related data;
  • Data protection information - duty to inform according to Art. 13 DSGVO.

Declaration of consent for the collection, processing and use of personal data for the purpose of pre-registration for a place in the Unikate day care centre for children of employees of Saar-land University and the administration of child-related data

I hereby give my consent that my personal data or the personal data of my child:

  • general personal data of the child: Surname, first name, (expected) date of birth, gender, nationality;
  • child's health data relevant to care: Allergies and intolerances as well as disabilities and chronic illnesses;
  • general personal data and contact details of the person(s) with custody: Surname, first name, address, telephone number and e-mail address, marital status;
  • Employment details: employer and for UdS employees: institution and place of employment, type of employment (temporary/permanent) and staff category (non-academic staff/academic staff or professorship)

will be collected, processed and used by the Equal Opportunities and Diversity Management Unit of Saarland University for the purpose of enrolment and child and childcare place management, and will also be evaluated anonymously for statistical purposes within the university for the purpose of determining existing childcare needs and for quality assurance.

Furthermore, my consent includes the transfer of my personal data or the personal data of my child to

  • in the software used by the Equal Opportunities and Diversity Management Unit of Saarland University to determine a suitable childcare place;
  • to the Kita-Planer of the Saarbrücken regional association, in which the Kita Unikate participates. All of the aforementioned data will be used in this context in accordance with the applicable data protection declaration of the Kita Planner of the Saarbrücken Regional Association.
  • to Kita Unikate for children of employees of Saarland University and its sponsor Impuls Soziales Management GmbH & Co. KG in the event that I accept a childcare place that has been promised to me. The Kita Unikate and its sponsor can access the aforementioned data and contact me.

I am aware that this declaration of consent is voluntary and that I can refuse to give it or revoke it at any time, even partially, with effect for the future, by notifying the Equal Opportunities and Diversity Management Unit of Saarland University in writing to P.O. Box 15 11 50, 66041 Saarbrücken or by e-mail to familie@uni-saarland.de of my revocation against the processing of my personal data or the personal data of my child. I am aware that the lawfulness of the processing is not affected until the revocation.

In the event of refusal or revocation of consent, a reservation for a place in the Unikate day care centre for children of employees of Saarland University cannot be made. In the case of exclusive refusal or revocation of consent to data transfer to the Kita-Planer of the Saarbrücken Regional Association, a reservation can in principle be made. In this case, preregistration and child management are not carried out via the Kita-Planer, but exclusively on the basis of the preregistration form submitted in writing or electronically to the Equal Opportunities and Diversity Management Unit.

Data protection information – duty to inform according to Art. 13 DSGVO

1. Body responsible for data processing

Responsible in terms of the DSGVO and other national data protection laws of the member states as well as other data protection regulations is Saarland University, represented by the University President, Campus, 66123 Saarbrücken.

2. Categories of data, purpose of data collection and legal basis

The Equal Opportunities and Diversity Management Unit collects, processes and uses your or your child's personal data for the following purposes and on the basis of the following legal grounds:

  • We collect, process and use your or your child's data in connection with the reservation for a childcare place at the Unikate daycare centre for children of employees of Saarland University in order to enable the identification of existing childcare needs, the proper determination and the needs-based allocation of suitable childcare places as well as the child and childcare place administration. The data is required to make reservations on the waiting list, to plan the Kita occupancy, to make commitments for childcare places, to answer enquiries and to send information. This includes general personal data of the child to be cared for, general personal and contact data of the legal guardians and, in the case of employees of Saarland University, information on the employment relationship. The legal basis is your consent in accordance with Art. 6 Para. 1a DSGVO.
  • If your child's health data is processed, this is also done for the above-mentioned purposes. This is data on your child's allergies, food intolerances as well as disabilities or chronic illnesses insofar as these are relevant to care. The legal basis is your consent in accordance with Art. 9 Para. 2 DSGVO.
  • Your or your child's data will also be used anonymously to determine existing care needs and for quality assurance purposes. The legal basis is your consent in accordance with Art. 6 Para. 1a DSGVO.
3. Data recipients

In the context of the above-mentioned purposes, it may be necessary to transfer your or your child's data to internal and external recipients. Your or your child's personal data will be passed on to:

  • Restricted group of employees of Saarland University who are entrusted with tasks to fulfil the above-mentioned purposes.
  • To the Kita-Planer of the Saarbrücken Regional Association, in which Kita Unikate participates.
  • In the event of acceptance of a promised childcare place to the Kita Unikate for children of employees of Saarland University as well as its sponsor Impuls Soziales Man-agement GmbH & Co. KG.
  • There are no plans to transfer your personal data or that of your child to a third country or an international organisation.
4. Duration of storage

Your personal data or that of your child will be processed for the duration of the fulfilment of the above-mentioned purposes. Once the purpose has been fulfilled, the aforementioned data will be deleted, if possible by the system. In the case of registration data, the data will be deleted after two years following a cancellation, otherwise, if necessary, for a maximum of two years after the child has left Kita Unikate. Legal, contractual or statutory retention periods may prevent the deletion or blocking of data.

5. Rights of the persons concerned

According to the provisions of the GDPR, you have various rights:

  • Right to information about the stored data (Art. 15 GDPR);
  • Right to correction or deletion of stored data (Art. 16, 17 DSGVO);
  • Right to restriction of processing (Art. 18 DSGVO);
  • Right to data portability under Art. 20 DSGVO;
  • Right to object (Art. 21 DSGVO);
  • Right to lodge a complaint with the supervisory authority (Art. 77 DSGVO).
  • The supervisory authority responsible for Saarland University is the Independent Data Protection Centre Saarland, the State Commissioner for Data Protection and Freedom of Information, Fritz-Dobisch-Straße 12, 66111 Saarbrücken, 0681 94781-0; post office(at)datenschutz.saarland.de;
  • Right to revoke your declaration of consent under data protection law. You have the right to revoke your declaration of consent under data protection law at any time, even partially. The revocation of the consent does not affect the lawfulness of the processing carried out on the basis of the consent until the revocation.
